This website is operated by the Plant Scherer Chapter of Citizens of Georgia Power (“we,” “us,” or “our”), a volunteer organization, for the purpose of managing registration, sponsorship and fundraising for the charitable events we organize, such as our annual clay shoot and golf tournaments. This policy applies to every event run through this website. It describes how we collect, use, share and protect personal information in connection with those activities. By using this website, you agree to the practices described here.

Information we collect

We collect only the information reasonably necessary to run our events. Depending on how you interact with us, this may include:

  • Contact information, such as your name, email address and telephone number.
  • Organization information, such as a company or sponsor name, where you register on behalf of an organization or purchase a sponsorship.
  • Participant information you provide about yourself or members of your team or group, such as names and event-related preferences (for example, apparel size, dietary needs, or equipment needs specific to an event).
  • Transaction information, such as what was purchased, when, and its status. We do not receive or store payment card numbers.
  • Technical information that is routinely generated when you use a website, such as the pages you visit and basic device and connection details, used to operate and secure the site.

We do not request government identification numbers, dates of birth or home addresses, and we do not obtain information about you from data brokers or other third-party sources.

How we use information

  • To process registrations, sponsorships, donations and raffle entries, and to fulfil what you have purchased.
  • To communicate with you about an event, your registration, and your payment.
  • To plan and operate our events, including scheduling, equipment and catering.
  • To recognize sponsors in event materials and on this website.
  • To maintain accurate fundraising and financial records.
  • To protect the security and integrity of this website and to comply with legal obligations.

How we share information

We do not sell personal information, and we do not share it for advertising purposes. We share information only as follows:

  • With the volunteer committee that organizes our events, for the purposes described above.
  • With our payment processor, which handles all card transactions on our behalf.
  • With service providers that help us operate this website and deliver our communications, who are permitted to use the information only to provide those services.
  • Publicly, in the case of sponsor names and logos, which is the purpose of a sponsorship. Individual participants are not listed publicly.
  • Where required by law, or where we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others.

Payments

All card payments are processed by Square. When you choose to pay by card, you are directed to a page operated by Square, and your card details are entered and handled there. We never see or store your card number. Square provides us only with confirmation of the transaction and the contact details you supply to complete it. Square’s handling of your information is governed by its own privacy policy.

Security

We use reasonable administrative and technical measures designed to protect personal information against unauthorized access, loss or misuse. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Retention

We retain registration and transaction records for as long as reasonably necessary to reconcile each event’s fundraising, honor sponsor commitments, satisfy record-keeping obligations, and invite past participants to future events. You may ask us to delete your information at any time; we may need to retain limited records of completed transactions.

Your choices

  • You may ask what personal information we hold about you.
  • You may ask us to correct information that is inaccurate.
  • You may ask us to delete your information, subject to the retention needs described above.
  • You may opt out of event communications at any time by contacting us.

Children

This website is intended for adults. We do not knowingly collect personal information from anyone under 18. Where an event includes a raffle, certain prizes may be subject to additional age and eligibility requirements under applicable law, which are stated on the relevant pages.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date at the top of this page. Your continued use of the website after a change indicates your acceptance of the updated policy.
